Good advice for implementing a new IT system
Many companies invest in new IT systems to streamline, scale or improve workflows. It can therefore be a great gain to have a new system developed, but only if it is implemented correctly. When a company invests in a new IT system, it is not only about having the right solution developed. It is also about having it well anchored in the organization.
Many companies focus on finding the right system or developing the right software, but forget that the success of the system ultimately depends on how it is put into use. In order to be successful with a new IT system, there must be organizational support.
At itpilot, we develop IT solutions in close collaboration with our customers. This also means that each implementation is unique. However, we see a clear pattern: The better prepared you are, the easier and more efficient it will be.
The technical implementation
When you choose itpilot to develop software and IT solutions for your company, we have a close dialogue with you. We do this to ensure that the development is based on your specific business needs and workflows.
It is important to us that you get a solution that creates value for your company. That is why we also continuously test the system with realistic use cases, but we also recommend that you test the solution yourself with your own data and workflows, because this is where any ambiguities become apparent. This creates both greater quality and stronger ownership among your employees.
Of course, we make sure to listen to your feedback and handle any errors and adjustments that may arise in the process. This means that the implementation and commissioning will be a confirmation that everything works.
Because we work agilely and in collaboration with you, you get a thoroughly tested system where your employees have been part of the development work. This means they also have a good understanding in advance of how it works.
Anchoring in the organization
To be successful with the system, the solution must of course work technically, but often the human and organizational part of the implementation is even more important. Even the most user-friendly system requires effort to become a natural part of daily life.
It is therefore important for us to have a close collaboration with you, as it helps to increase your success with the specially developed IT system. We therefore also recommend that you appoint an internal project manager or product owner to act as the link between you and us. This person is responsible for coordinating communication, aligning expectations internally within your company, and understanding how the system will be used in practice by different user groups.
Your internal project manager will therefore also have an important impact on whether the newly developed IT system will be a success internally in your company. We cannot take responsibility for your internal anchoring, but we will do what we can to help you achieve your goals. We do this, among other things, by ensuring that the right people are involved along the way, and by delivering a solution that is easy to use.
Five tips for rolling out a new IT system

For a new IT system to be successful, it is important, as described above, that the system is embedded in your company and among your employees. Although we are not experts in change management, we have 5 good tips that we often see make a concrete difference:
- Start by clarifying the purpose and communicating it clearly
Users must understand why the system is important and what it should contribute.. - Involve the users of the new IT system early in the development process
Listen to input from employees and give them the opportunity to test. When employees have had an influence along the way, they are much more motivated to adopt the system. - Appoint ambassadors internally
A product owner and other internal ambassadors can help ensure that the system is used correctly and can resolve minor issues internally. - Test with real workflows and use cases
It is important to test the system in the reality it is intended to support – and not just in an artificial test environment. - Have realistic expectations for the start-up
It is normal to need some adjustment at first. Make sure you have time and resources for this.
These steps are not about heavy change management, but about sound organizational understanding and pragmatic approaches that increase the chance that your new system will actually be used and make a difference.
